The resumes are a vital part of the candidate card. It holds a lot of information in an easy to access document and we are aware that you would like to take them along on your Teamtailor journey.
Each ATS stores and processes candidate data in a different way. Depending on how you have received this data, you will have to map it differently to be able to store it on your new Teamtailor platform.
Below you will find a comprehensive guide on the most common ways you might receive this data when you export from your previous ATS.
If none of the options align with how you received the data, you can reach out to your point of contact at Teamtailor for further guidance.
When you import candidates and their CV’s into Teamtailor, you will fill in a document called Standard Import Template. There we ask you to add the CV name. The goal is to link the right candidate to the right file. This we match with the candidate ID + filename

For our Custom imports, you will deliver the export files straight from your previous ATS. In those export files you will find the same data as explained above. You can then highlight in the custom mapping document in which file the team can find the right data.

Only 1 file per candidate can be sent to the resumes. Please do not add multiple files per candidate under the Resume name/ CV name column, no matter what mapping type you use.

You will receive an export file (common .csv file) where your candidates and their resumes are listed. Here you can extract the CV names that you will need in our template. Then you will receive the actual files in a separate folder. The files should have matching names to the CV names in the .csv export file.

Names and contact details are fictional and randomised to create a visual example
Like in the example, you will map the name of the CV in the Resume name/ CV name column and you will send along a zip folder with the actual files to your point of contact here at Teamtailor. Recommendation is always to send in zip folder format.
If you have a lot of data, it might be a good idea to split your data into a couple of zip folders (recommended around 5GB per zip folder). Bigger folders might corrupt the data and break the files. Keeping the zip folders smaller creates an easier download and keeps the files intact.

Important: the name you note down in the template, needs to be a 100% match to the name of the actual file. The extension is part of the name and has to be included.

This is the most straight forward way of working and the most common practice. When you are unsure how to map your data, you can always try to reach this method for the easiest import.
Certain ATS’s prefer to use URL links to store your resume data. Here at Teamtailor we can process those, but there are some restrictions to take into consideration. There are two main options you have with resumes in link form.
